Corporate transportation for the South Sound
Executive airport transfers, client and VIP pickups at Sea-Tac, multi-stop roadshow days and team transport across Gig Harbor, Tacoma and the wider region. Billed to an account, not to a card at the kerb, at a rate that does not move with demand.
- Monthly consolidated invoicing
- No surge pricing, ever
- Certificate of insurance on request
- Same chauffeurs on recurring runs
Corporate car service in Gig Harbor and Tacoma
Gig Harbor Limo provides licensed, insured corporate ground transportation across Gig Harbor, Tacoma, Port Orchard and the South Sound. Four things make up most of the work: executive airport transfers to and from Sea-Tac, client and VIP arrivals with meet and greet inside the terminal, roadshow and multi-stop days where one vehicle and chauffeur stay with a team for four to ten hours, and team transport for offsites, conference shuttles and holiday parties. Vehicles run from a three-passenger executive sedan to a 30-passenger bus.
Corporate work is set up on an account. Bookings are made by an assistant, an office manager or the traveller, charged to the company rather than to a personal card, and invoiced monthly with trip detail for expense coding. Rates are fixed at booking and do not surge, which is what makes the line item predictable. A certificate of insurance, W-9 and vendor onboarding paperwork are available on request before the first booking. Sea-Tac transfers start at $110 from Tacoma and $125 from Gig Harbor. Call 253-333-0265.
The part that actually matters to your finance team
The driving is the easy bit. What makes a car service usable by a company is whether it fits the way the company already pays for things, and most consumer-facing operators do not think about that at all.
How a corporate account works
- One account, many bookersName whoever should be able to book: an executive assistant, an office manager, a travel coordinator, individual travellers, or all of them. Each booking is tagged to whoever made it.
- No card at the kerbThe traveller never pays and never fronts an expense. That removes the reimbursement cycle entirely, which for a company running several transfers a month is the real saving.
- Monthly consolidated invoiceOne invoice, itemised by trip, with date, passenger, route and vehicle. Net terms available on established accounts.
- Cost codes and referencesAdd a PO number, department, matter number or project code at booking and it appears on the invoice line. Finance codes it without asking anyone what the trip was for.
- Rates fixed at bookingNo surge multiplier on a Friday, in a storm, or during a conference week. The number you were quoted is the number invoiced, which is what makes the budget line usable.
- Vendor onboarding, done properlyW-9, certificate of insurance, business licence and completed vendor forms supplied before the first booking. We have been through procurement often enough not to be surprised by it.
Records for expense
Every trip generates a receipt with date, time, route, passenger and vehicle, sent to the booker and repeated on the monthly invoice. No chasing a driver for a screenshot three weeks later.
Duty of care
Putting an employee into an unvetted vehicle at 11pm is a liability question, not just a convenience one. Every chauffeur here is commercially licensed, background-checked and drug-tested, and the company is insured in Washington State.
The same chauffeurs
On recurring runs you get the same two or three people rather than whoever accepted the job. They learn the route, the building, the entrance your client should be dropped at, and how your CEO likes the car.
Four kinds of corporate booking
They differ in whether the vehicle leaves after the drop or stays with the group, which is what decides whether the trip is priced point to point or by the hour.
Executive transfers
from $110Your own people to and from Sea-Tac, Boeing Field or the rail and ferry terminals. Priced as a single fare rather than against an hourly minimum, so a 40-minute run is not billed as two hours. Twenty pickup communities across Pierce and Kitsap.
See airport transfersClient and VIP arrivals
from $175Someone waiting inside the terminal with a name board rather than a text telling your client to find door 12. Flight tracked from pushback, 30 minutes of free wait, and a drop at your office entrance or their hotel. The first ten minutes of a visit set the tone for the rest of it.
Book a client pickupRoadshows and multi-stop days
from $500One vehicle and one chauffeur held for four to ten hours while a team works through a list of meetings across Tacoma, Seattle and the South Sound. Bags stay in the car, the schedule flexes when a meeting runs long, and nobody is booking rides between appointments.
Plan a roadshow dayTeam events and shuttles
from $525Offsites, team dinners, conference shuttles between hotel and venue, and the December party. Ten seats in a Sprinter up to thirty on a bus, with individual drop-offs at the end so nobody drives after a company event.
Quote a team bookingOur own vehicles, and partners we vouch for
When you put a client in one of our cars we know exactly who is driving, and so do you. Where a booking needs a larger vehicle than we run ourselves, it goes to a UTC-licensed partner operator and we name them in advance.
The first ten minutes of the visit
Sending a client a rideshare code is fine. It is also the same thing every other vendor they met this month did. A chauffeur standing at baggage claim with their name on a board, taking the bag, and walking them to a car that is already warm is a different signal, and it costs about fifty dollars more.
How it runs: you send us the flight number and the drop address, and the rest happens without you. The inbound is tracked from the moment it pushes back at the origin gate, so a two-hour delay or a forty-minute early arrival moves the pickup automatically. Airport arrivals include 30 minutes of complimentary wait time from touchdown. The chauffeur texts you when the client is collected and again at the drop, so you know when to expect them without having to ask.
Discretion is part of the job. Chauffeurs do not discuss passengers, itineraries or anything overheard in the vehicle, and the name board can be a company name or nothing at all if the visit is sensitive. For regulated or security-conscious work, we can supply chauffeur details in advance and hold signed confidentiality terms on file.
- Name board inside the terminal
- Flight tracked from pushback
- 30 minutes free wait
- Confidentiality terms on request
Districts, venues and terminals
Pickups are door to door across our whole coverage area. These are the places corporate bookings concentrate, and the ones where knowing which entrance to use actually saves your client ten minutes.
Business districts
Daily runsDowntown Tacoma is 25 to 35 minutes from Gig Harbor across the Narrows. The financial district, the Port and the base corridor all have their own access quirks and their own worst hours.

- Port of Tacoma
- Gig Harbor North
- Point Ruston
- Joint Base Lewis-McChord
- Puget Sound Naval Shipyard
- Downtown Seattle

Conference and event venues
Shuttle workThe Greater Tacoma Convention Center anchors most of the region's conference business, with three hotels inside a short walk. Shuttle loops between those hotels and an offsite venue are a common booking.
- Greater Tacoma Convention Center
- Hotel Murano
- Marriott Tacoma Downtown
- Courtyard by Marriott Tacoma
- Hilton Garden Inn Tacoma

- Washington State History Museum
- LeMay, America's Car Museum
- Foss Waterway Seaport
- Kitsap Conference Center, Bremerton
- Canterwood Golf & Country Club
- Chambers Bay
- Ocean5, Gig Harbor
Terminals
Point to pointSea-Tac is most of it. The rest matters when a client is arriving by private aviation or by rail, or when a team is heading to a base or a shipyard on an early report time.
- Sea-Tac International Airport
- Boeing Field, King County International
- Tacoma Narrows Airport
- King Street Station, Seattle
- Tacoma Dome Amtrak
- Point Defiance ferry
- Southworth ferry
- Bremerton ferry
Venues and districts are listed to show the routes we cover and do not imply an affiliation, partnership or preferred-vendor arrangement with any of them. If your office, venue or client hotel is not listed, send the address and we will confirm access, the right entrance and realistic timing before you book.
What corporate bookings cost
Two ways of pricing. Transfers are a single quoted fare, because the vehicle leaves after the drop. Anything where the vehicle stays with you is hourly. Neither ever carries a surge multiplier.
| Booking | Vehicle | Basis | From |
|---|---|---|---|
| Sea-Tac transfer from Tacoma | Luxury Sedan | Point to point | $110 |
| Sea-Tac transfer from Gig Harbor | Luxury Sedan | Point to point | $125 |
| Client pickup with meet and greet | Luxury Sedan | Point to point plus $50 | $175 |
| Half-day roadshow, 4 hours | Luxury Sedan | Hourly at $125 | $500 |
| Full-day roadshow, 8 hours | Luxury SUV | Hourly at $150 | $1,200 |
| Team transfer, up to 10 | Sprinter Van | Hourly at $175, 3-hour minimum | $525 |
| Conference shuttle loop, 4 hours | Sprinter Van | Hourly at $175 | $700 |
| Holiday party, up to 25 | Party Bus | Hourly at $300, 5-hour minimum | $1,500 |
Transfer fares are one way for one or two passengers and include fuel, taxes, tolls and the Narrows Bridge crossing. Airport arrivals include 30 minutes of complimentary wait time and every other pickup includes 15. December, holiday weekends and New Year's Eve carry higher hourly rates and longer minimums on group vehicles; transfers do not. Volume terms are available once an account has a regular pattern. See the full fleet and rates.
Included on every corporate booking
- Licensed, background-checked, drug-tested chauffeur
- Fuel, taxes, tolls and the Narrows Bridge crossing
- Real-time flight tracking on airport arrivals
- 30 minutes free wait at the airport, 15 elsewhere
- Bottled water and device charging, Wi-Fi on request
- Itemised receipt to the booker after every trip
- Cost code or PO reference carried to the invoice
- A rate that does not move between quote and invoice
Working in the vehicle
Sedans and SUVs carry device charging, with Wi-Fi on request, and the rear compartment is quiet enough for a call between meetings. On a roadshow day that is not a nicety: it is the difference between eight hours of travel and eight hours of working time with travel underneath it.
Tell us at booking if the vehicle is being used as a working space and the chauffeur will keep the partition up, skip the small talk and route for a smooth road rather than the shortest one. For a call that cannot drop, we will also plan around the two or three stretches on the route where coverage is unreliable.
The paperwork, up front
If you are adding a vendor rather than booking a car, this is the section you came for. Ask for any of it before you book anything and we will send it the same day.
What we can supply
Certificate of insurance naming your organisation as certificate holder, and as additional insured where your contract requires it. Commercial auto and general liability, issued by our broker rather than typed by us.
W-9, business licence and UBI number for vendor setup, plus completed supplier forms and any standard onboarding questionnaire your procurement team uses.
Licensing detail for the operating authority the vehicles run under in Washington State, and confirmation that vehicles up to 14 passengers are owned and maintained by the company, with larger vehicles supplied by UTC-licensed partner operators.
Confidentiality terms signed and held on file where a visit, a passenger or a destination is sensitive. Chauffeur names can be supplied in advance for site or security clearance.
What your travellers get
A vetted driver, every time. Commercially licensed, background-checked and drug-tested, employed rather than gig-matched. On recurring runs it is the same two or three people, which matters more for a 4am pickup than it sounds like it should.
A vehicle you can put a client in. Late-model, detailed before every corporate booking, and inspected on a schedule. If a vehicle is not right on the morning, it is swapped rather than sent.
Someone answering at 4am. Dispatch is staffed around the clock by people at this company, not an overflow call centre. A flight diverting to Portland at midnight is a phone call, not a support ticket.
No traveller out of pocket. Nothing is charged to a personal card, so nothing goes through an expense report and nothing waits on reimbursement.
Opening an account
Four steps and about a day, most of which is your procurement system rather than ours. You can also just book a single trip on a card first and set the account up afterwards if it works out.
Tell us the pattern
Roughly how often, what kind of trips, and who should be able to book. A company running four airport transfers a month is set up differently from one running a quarterly conference shuttle.
We send the paperwork
Certificate of insurance, W-9, business licence and any vendor forms your procurement team needs, usually the same day. If your contract requires additional insured status, say so now rather than later.
Set the booking rules
Named bookers, default vehicle class, cost codes to carry through to the invoice, and any standing instructions: preferred entrances, a chauffeur your CEO already knows, water but no conversation.
Book and be invoiced
Bookings by phone, email or the online form under the account. Receipts go to the booker after each trip, and one itemised invoice arrives monthly with net terms on established accounts.
What business clients say
★★★★★We have used Gig Harbor Limo multiple times for corporate travel and nights out in the South Sound and Seattle. Professional drivers every single time, always on time, and the vehicles are immaculate.
Corporate account questions
How does corporate billing work
Bookings are made under a company account and charged to the company rather than to a traveller's card. Each trip generates an itemised receipt to whoever booked it, and one consolidated invoice arrives monthly with date, passenger, route and vehicle on every line. Add a PO number, department or project code at booking and it carries through to the invoice line so finance can code it without asking anyone what the trip was for. Net terms are available on established accounts.
Do you surge on busy dates
No. The rate quoted at booking is the rate invoiced, on a Friday, in a storm, during a conference week or on New Year's Eve. Group vehicles carry higher standard hourly rates in December and on holiday weekends, and those are published and quoted in advance rather than applied as a multiplier. Point-to-point transfers do not change at all. That predictability is usually the reason a company moves from rideshare to an account in the first place.
Can you provide a certificate of insurance
Yes, issued by our broker and naming your organisation as certificate holder, and as additional insured where your contract requires it. We can also supply a W-9, business licence and UBI number, licensing detail for the authority the vehicles operate under in Washington State, and completed versions of whatever vendor onboarding forms your procurement team uses. Ask before you book anything and it goes out the same day.
Who can book on our account
Whoever you name: an executive assistant, an office manager, a travel coordinator, individual travellers, or all of them. Each booking is tagged to the person who made it so the invoice shows who authorised what. You can also set standing rules at account level, such as a default vehicle class, preferred building entrances, or a note that a particular chauffeur handles a particular executive.
Do you meet clients inside the terminal at Sea-Tac
Yes. Meet and greet at baggage claim with a name board is a $50 add-on to the transfer fare. The inbound flight is tracked from the moment it pushes back at the origin gate, so delays and early arrivals move the pickup automatically, and airport arrivals include 30 minutes of complimentary wait time. The name board can show your company name or nothing at all if the visit is sensitive.
What is a roadshow booking and how is it priced
One vehicle and one chauffeur held for a block of hours while a team works through several meetings, rather than booking separate rides between each. Bags stay in the car, the schedule flexes when a meeting overruns, and nobody is arranging transport between appointments. It is priced hourly: a half day in an executive sedan is four hours at $125, from $500, and a full day in an SUV is eight hours at $150, from $1,200.
Can our people work in the vehicle
Device charging is standard in the sedans and SUVs and Wi-Fi is available on request, so ask when you book. The rear compartment is quiet enough for a call. Tell us at booking that the vehicle is being used as a working space and the chauffeur will keep the partition up, skip the conversation and route for a smooth road rather than the shortest one. For a call that cannot drop, we will plan around the stretches of the route where coverage is unreliable.
Do we get the same chauffeurs each time
On recurring runs, yes. Accounts with a regular pattern are assigned to the same two or three chauffeurs rather than whoever happens to be free, so they learn the route, the building, which entrance a client should be dropped at and how a particular executive likes the car. Every chauffeur is employed by us, commercially licensed, background-checked and drug-tested, and vehicles up to 14 passengers are owned and maintained by the company, with larger vehicles supplied by UTC-licensed partner operators.
How much notice do you need
Twenty-four to forty-eight hours for a sedan or SUV transfer, though same-day is often possible and dispatch is staffed around the clock. For a Sprinter or a group vehicle, a week. For a conference shuttle, a holiday party or anything in December, four to six weeks, because December is the second-busiest month of our year. Recurring runs are scheduled ahead in a standing block so they are never a last-minute question.
Do you cover Seattle, Bellevue and JBLM
Yes. We are based in Gig Harbor and run daily into King County, including downtown Seattle and Bellevue, plus Joint Base Lewis-McChord, the Port of Tacoma and Puget Sound Naval Shipyard in Bremerton. Pickups are door to door across twenty communities on the Kitsap and Olympic peninsulas. If your office, client hotel or venue is not on our coverage list, send the address and we will confirm access and realistic timing.
What happens if a flight is delayed or cancelled
Delays are absorbed automatically, because the flight is tracked rather than the scheduled time. If a flight is cancelled by the airline, call dispatch and we will rebook or release the reservation rather than hold you to it. There is no charge for a delay and no charge for wait time inside the complimentary 30 minutes on an airport arrival. Someone answers at 4am, and it is someone who works here.
Can we book a single trip before opening an account
Yes, and plenty of companies do. Book one transfer on a card, see how it goes, and set the account up afterwards if it works out. Account setup takes about a day on our side and however long your procurement system takes on yours, so there is no reason to wait for it before the first booking.
Open a corporate account
Tell us roughly how often you travel and who should be able to book, and we will send the paperwork the same day. Or book one trip on a card first and decide afterwards.
